Refund Policy
1. MEMBERSHIP OVERVIEW
1.1 Hike Club Social ("HCS"), operating as T/A Sian Anstis, ABN 28 974 296 328, is a paid membership community for outdoor hiking and activities based in Brisbane, Queensland. These terms govern your membership subscription.
1.2 HCS offers three membership tiers:

"Adventure"

"Legacy"
1.3 All membership tiers include:

Two (2) hike credits per calendar month

Access to the HCS community platform

Priority booking for hikes

Discounts on HCS-run ticketed events and selected partner offers
1.4 Ticketed events (overnight camping trips, day trip events, social gatherings) are separate from membership and require separate payment. Hike credits do not apply to ticketed events.
2. MEMBERSHIP ACTIVATION & CREDITS
2.1 Hike credits are allocated monthly on the 1st day of each calendar month and expire at the end of the same calendar month. Credits do not roll over to the following month.
2.2 If you join HCS mid-month, you receive the full allocation of two (2) credits for that month, with expiry at month end. Pro-rata allocation does not apply.
2.3 Credits may only be used to book hikes scheduled and published on the HCS website. One (1) hike credit is required per hike booking.
2.4 Credits are personal to your membership account and cannot be transferred, gifted, or sold to another member.
3. BOOKING & CANCELLATION
3.1 You may book hikes through the HCS member portal or website. Hikes are subject to availability and leader capacity.
3.2 If you cancel a hike booking more than 12 hours before the scheduled hike start time, your hike credit is returned to your account and may be used for another hike.
3.3 If you cancel a hike booking within 12 hours of the scheduled start time, or if you do not attend the booked hike (no-show), one (1) hike credit is consumed and a non-refundable no-show fee of $5.00 is charged to your account. This fee will be added to your next monthly invoice or deducted from your account balance.
3.4 HCS may cancel any hike at any time for operational, weather, or safety reasons. If HCS cancels a hike, your credit will be fully refunded and you may book an alternative hike.
4. PAYMENTS & BILLING
4.1 Membership fees are billed monthly in advance to the payment method on file. For monthly memberships, billing occurs on the same date each month as your membership start date.
4.2 All membership fees are non-refundable. If you cancel your membership mid-month, you remain responsible for the full monthly fee and your access continues through the end of the billing period. See the HCS Refund Policy for information about refunds for ticketed events and merchandise.
4.3 You are responsible for ensuring your payment method is valid and up to date. If a payment fails, HCS will attempt to retry payment over the following days. Repeated payment failures may result in membership suspension.
4.4 No-show fees and other charges incurred during your membership will be added to your account and invoiced with your next monthly membership payment, or deducted directly if payment method is available.
5. SUSPENSION & TERMINATION
5.1 You may cancel your membership at any time by emailing hey@hikeclubsocial.com. Your access will terminate at the end of your current billing period.
5.2 HCS will suspend your membership access if a payment fails:

First failed payment: You will receive a warning notice and 5 business days to rectify the payment

Second failed payment: Your membership access is immediately suspended. HCS will continue to attempt collection. Your membership will be terminated if payment is not received within 30 days.
5.3 HCS may immediately suspend or terminate your membership if you:

Violate the HCS Community Code of Conduct (Section 7)

Harass, threaten, or intimidate HCS staff, volunteers, or other members

Engage in illegal activity

Refuse to comply with safety instructions, waivers, or reasonable directives from HCS leaders
5.4 If you are suspended for breach of community conduct:

HCS will provide written notice of the reason for suspension

You have 7 days to respond and request a review of the suspension

HCS may terminate your membership permanently if the breach is serious or if the suspension is upheld following review
6. WAIVERS & LIABILITY
6.1 All participants in HCS hikes and activities must read, sign, and comply with the separate HCS activity waivers prior to participation.
6.2 The HCS waivers are separate documents and contain all assumption of risk, limitation of liability, indemnification, and emergency contact information requirements.
6.3 By booking and participating in HCS hikes, you confirm that you have read, understood, and agree to be bound by the HCS activity waivers. You remain solely responsible for your own safety, fitness, and suitability for any activity.
7. COMMUNITY CODE OF CONDUCT
7.1 All HCS members agree to treat HCS staff, volunteer leaders, and fellow members with respect and courtesy. The following conduct is strictly prohibited:

Harassment, discrimination, or bullying of any member or leader on any basis (gender, race, sexual orientation, disability, religion, age, national origin, etc.)

Threats, intimidation, or violent behaviour

Sexual harassment or inappropriate conduct

Unwanted recording or photography of members without consent

Spam, promotion of services, or commercial solicitation on the HCS community platform

Failure to comply with safety instructions or leader directions during hikes

Illegal activity
7.2 you commit to respecting and protecting the natural environments where HCS operates. All HCS hikes and activities take place on public land managed by Queensland Parks and Wildlife Service (QPWS) or private land with owner consent. These areas are shared resources that depend on responsible use.
7.3 During HCS activities, you agree to:

Leave No Trace: Take all rubbish with you, including food waste. Leave nothing behind.

Stay on designated tracks: Prevent erosion and habitat damage by remaining on marked trails.

Respect wildlife: Observe animals from a distance and do not feed or disturb them.

Use water responsibly: Do not contaminate water sources. Use biodegradable soap if washing in natural water.

Comply with QPWS and land manager rules: These include fire restrictions, camping permits, and seasonal closures.
7.4 Breach of environmental responsibility may result in suspension or termination of membership, at HCS's discretion.
8. MEMBER DATA & PRIVACY
8.1 All personal information provided during membership sign-up (name, email, phone, emergency contact, health information) will be handled in accordance with the HCS Privacy Policy.
8.2 Photography and Marketing Consent: By becoming an HCS member, you consent to being photographed and filmed at HCS activities and events. Images and video may be used for HCS marketing purposes, including on our website, social media channels and other promotional materials. If you do not wish to appear in HCS marketing content, notify us at hey@hikeclubsocial.com.
8.3 HCS will retain your membership records for the duration of your membership and for two (2) years following termination, as required by applicable law and insurance requirements.
9. DISPUTES & COMPLAINTS
9.1 If you have a complaint or dispute (including billing disputes, credit disputes, or conduct concerns), you may contact HCS at: hey@hikeclubsocial.com
9.2 HCS will acknowledge your complaint within 5 business days and work to resolve the issue within 14 days.
9.3 If the dispute remains unresolved, you may escalate to Australian Consumer Law remedies or seek legal advice.
10. AMENDMENTS TO THESE TERMS
10.1 HCS may amend these terms at any time. Material changes will be communicated to you via email at least 14 days in advance of the change taking effect.
10.2 Continued membership following notice of changes constitutes acceptance of the amended terms.
11. GENERAL
11.1 These terms are governed by the laws of Queensland, Australia. Both you and HCS submit to the jurisdiction of Queensland courts.
11.2 If any provision of these terms is found to be invalid or unenforceable, the remaining provisions continue in full force and effect.
11.3 No part of these terms constitutes legal advice. If you have specific legal concerns, you should seek advice from a qualified legal professional.
11.4 The failure of HCS to enforce any right or provision is not a waiver of that right or provision.
We may update this policy from time to time. The current version will always be available at hikeclubsocial.com. Continued use of our services after an update constitutes acceptance of the revised policy.
